This policy outlines how cancellations, refunds, and credits are handled for treks and expeditions booked through Camping Trek. We recommend all travelers purchase comprehensive cancellation insurance to protect against unforeseen circumstances.
All booking deposits are non-refundable. This reflects non-recoverable costs we incur immediately upon booking, including permit application fees, guide and crew allocation, and accommodation holds. Deposits are, however, transferable to an alternative departure date within 24 months, subject to availability.
Cancellations made more than 45 days before departure receive a refund of any payments beyond the deposit, minus a 10% administrative fee. Cancellations made 15–45 days before departure receive a 50% credit toward a future trek. Cancellations made less than 15 days before departure are not eligible for any refund or credit.
Given the significant advance costs involved in expedition logistics, cancellations made more than 90 days before departure receive a refund of payments beyond the deposit, minus a 10% administrative fee. Cancellations made 30–90 days before departure receive a 50% credit. Cancellations made less than 30 days before departure are not eligible for any refund or credit.
In the rare event we must cancel a departure due to insufficient group numbers, safety concerns, or circumstances beyond our control, you will be offered a full refund of all payments made, or the option to transfer to an alternative departure date at no additional cost.
If you choose to leave a trek or expedition early for any personal reason, or if you are withdrawn by our guide for safety reasons, no refund is payable for unused portions of the itinerary, including accommodation, meals, guide services, or permits already secured.
Trekking permits, national park fees, and mountaineering royalties paid to Nepali government authorities are non-refundable by the government under any circumstances, including trip cancellation, and are excluded from any refund calculation.
If a trip cannot proceed due to circumstances beyond our control - including extreme weather, natural disaster, government restriction, or civil unrest - we will work with you to reschedule where possible. Refunds in these circumstances are assessed case by case, taking into account costs already incurred and recoverable.
Approved refunds are processed to the original payment method within 14 business days of approval. Credits toward a future departure are valid for 24 months from the date of issue and are non-transferable to another individual.
We strongly recommend purchasing comprehensive travel insurance that includes trip cancellation and interruption coverage at the time of booking, to protect against cancellations for reasons such as illness, injury, or family emergency.
